Event Reports: How to Create and Use Them to Improve Your Event

If you want to understand how your event’s management is really going, you should definitely learn about event reports.

This tool brings several benefits to those who know how to get the most out of it, since it makes it easier to identify what’s working and what’s not, before, during, and after the event.

Even so, you might not know where to generate these reports correctly or what their features are.

That’s why we put together a complete guide to help you understand:

  • Why is an event report so important?
  • 6 essential reports for events
  • How to generate your reports right now

Why is an event report so important?

Generally speaking, reports are a set of information designed to detail certain occurrences in detail.

In the same way, event reports are tools used to understand what’s happening before, during, and after your event.

If your event collects participants’ personal data, attendees must be aware of and agree to the use of their data, following the standards of data protection legislation applicable in your region.

6 essential reports for events

1. Attendance report

The People menu on Even3 is a complete tool for managing your attendees and organizing them efficiently.

Beyond that, it can also generate a complete report on your attendees’ status, providing important information such as:

  • Identification number;
  • Registration date;
  • Registration number;
  • Category (evaluator, attendee, author, etc.);
  • Registration status (pending or completed).

To generate this report, simply follow a few steps: log in to Even3, go to the Organizer Area, find the People menu, click the Actions button, and then click Export. Your browser will download the file, which you can then open to review all your attendees’ information.

2. Traffic report

If you want to reach a larger number of people with your event, you need to have a presence in the digital world.

That means having a website for your event is essential. With it, you can sell tickets, share important information, and much more.

To understand your website’s performance and make your future strategies more effective with accurate reports, use web analytics tools.

What are analytics tools?

Analytics tools are websites or applications designed to perform a complete analysis of your website, providing a full report on visits, time on page, and much more.

One of the most famous and free options is Google Analytics, a tool for monitoring and analyzing website traffic. If it doesn’t fully cover your website’s tracking needs, try using the URL Builder.

The URL Builder is a tool that allows you to create trackable links, indicating exactly where each visit came from.

3. Sales report

Just like the attendee report in the People menu, Even3 also has a Sales menu with a complete report for anyone who wants to track cash flow and ticket sales.

There you’ll find information such as identification number, buyer’s name, buyer’s email, description, transaction date, and transaction time, along with more specific information related to attendee payments and transaction details, such as:

  • Payment method;
  • Payment type;
  • Amount paid;
  • Amount receivable;
  • Payment status;
  • Notes.

This way, you can use important data to get a better understanding of your overall sales and think of strategies to make ticket purchasing easier. For example, if you notice that many people are using a payment method that isn’t very profitable, you could offer a discount for those who use other methods.

To get this report, just like the previous one, go to the organizer area, access the Sales menu, and click the export button.

4. Schedule report

After using Even3’s schedule menu to set up your activities, guests, venues, and coupons, you can also generate reports that will help you manage these options.

Being a more robust area than the ones already presented above, here we have two event reports for schedule management: the activities report and the registrants report.

Activities report

As the name suggests, this event report provides an overview of the activities you created within the schedule menu. In it, besides the activity type and name, you’ll find information such as:

  • Date;
  • Start and end time;
  • Workload/duration;
  • Venue;
  • Spot limit;
  • Registration;
  • Speakers;
  • Number of registrants.

Registrants report

This report is essential for the day of the event, since, if there’s a problem with the check-in options, the attendee list can be your last resort for manual check-in.

Besides the basic information, such as the attendee’s identification number, name, and email, this report also includes:

  • Registration date;
  • Registration time;
  • Check-in date;
  • Check-in time;
  • Registration status.

By cross-referencing this information with the activities report, you’ll have a complete overview of your registrants’ actions.

To get this report, just go to the schedule menu on the platform, access the activities section, and click export.

5. Submissions report

When an event receives many submissions, it can be difficult to keep full control over all of them, right? But with the report from Even3’s submissions menu, this can be resolved quickly!

In this report you can access data ranging from the simplest, like identification number, submission title, and category, to many others, such as:

  • Thematic area;
  • Reviewer’s name;
  • Reviewer’s opinion;
  • Justification;
  • Final decision;
  • Internal notes.

This way, you and your reviewers can understand the status of all submissions in a single place, and, after the event, get an overview of the submissions received and the amount of scientific output produced at your event.

6. Certificate delivery report

At the end of your event, all attendees will be waiting for their certificates of participation. And not only that — there are also presentation, evaluation, submission certificates, and others.

That’s why it’s important to know which certificates have already been sent, which are pending, and which are still to be sent.

In Even3’s certificates menu, you can track your email sending through a complete report that specifies the status for each user. This way, in case of complaints about pending certificate deliveries, you can check the report and understand where they were sent.

Generate your reports right now

As we’ve seen, generating an event report is a very important step for a successful event.

With this practice, you can understand key aspects of your event to optimize it and bring even more benefits.

And as mentioned, all the reports listed above are available on the Even3 platform. If you’re interested in these features, create your event today!
